Coast Catering Manager Guide

How to read the calendar, bring in events, staff them, and send invites.

Sign in

Open the Coast Office link and sign in with your email and password. Manager accounts open the Office view with the full events calendar.

Put it on your home screen

Add Coast to your phone so it opens in one tap, like any other app. You only do this once.

On iPhone (use Safari):
  1. Open the Coast app link in Safari (the link the office sent you).
  2. Tap the Share button — the square with an arrow pointing up, at the bottom of the screen.
  3. Scroll down and tap Add to Home Screen.
  4. Tap Add in the top-right. The Coast icon now sits on your home screen.

On Android: open the link in Chrome, tap the menu, then Add to Home screen.

Read the events calendar

The Events tab shows every event by month. Each event is color-coded by how well it is staffed:

Use the month buttons to move forward and back. The other tabs are Roster (your people), Directory, and Activity (a log of who accepted or declined).

Events arrive from Total Party Planner

Events sync automatically from Total Party Planner (TPP) every morning, with venue, guest count, times, and how many of each role are needed. You do not have to enter them by hand.

To pull events in yourself, tap Import, then either choose a CSV you exported from TPP or copy rows from a spreadsheet and paste them in.

Add an event by hand

Tap Add event to create one yourself. Fill in the date, client, event type, guest count, staff hours, start time, event manager, venue, address, and attire. At the bottom, enter how many of each role you need (Captains, Servers, Bartenders, and the chef roles). Tap Create event.

Staff an event and send invites

Tap an event on the calendar to open it. From here you build the crew:

You can also use "Text the crew about a change" at the bottom of an event. Describe what changed in plain English and the assistant drafts a text for the booked crew. You review it before it sends, and every send is logged to Activity.

Manage your roster

The Roster tab lists all staff and their roles. Add new people, edit details, or deactivate someone who has left. Removing a person deletes their login and history, so deactivate instead if you may rehire them.
